Privacy Statement

We require your name and contact details as part of your feedback. Your feedback, name and email address will be given to Councillors to help them with decision making.

All feedback will be published on our website with your name. All other personal or commercially sensitive information (including your email address) will be removed. Publishing feedback in full supports a transparent process.

If you have specific reasons for not wanting your feedback publicly released, please contact research@huttcity.govt.nz or 0800 488 824.

In addition to your full name and personal contact details, the feedback form asks you to provide some demographic information (e.g., your suburb, age and ethnicity). Demographic information helps Council to understand whether those providing feedback collectively reflects Te Awa Kairangi ki Tai Lower Hutt’s broader population.

The form also asks whether you’re a resident (or a former resident), homeowner, business owner or landlord (or a combination of these). Answering this is a requirement because it will help Council to identify common themes between these groups and support decision making.

How we use information that we collect about you

Hutt City Council respects your privacy and takes the protection of your personal information seriously. The information collected as part of your feedback will be used for the sole purpose of collecting public feedback on our 10 Year Plan and will not be used for any other purpose. Providing a public submission is voluntary. We collect, use and disclose your personal information in accordance with the Privacy Act 2020 and the HCC Privacy Policy.

Where is my personal information going to be held?

Council stores information with reasonable safeguards against loss and disclosure. Reasonable safeguards include physical and technological protections. Personal information is accessible to staff who have a legitimate reason to access it. Council has a code of conduct where unauthorised disclosure of confidential information or records is considered misconduct. Council manages its records in accordance with the provisions of the Public Records Act, which includes the authorised destruction of records once they are no longer required to be kept for legislative compliance or business purposes.

Who can access your information?

As well as authorised Hutt City Council Staff, your information is shared with Hutt City Council’s contracted research provider, Public Voice, and any third parties they use to deliver their services, including the survey platform Alchemer and the data analysis software MAXQDA.
